When you contact us, book a strategy call, or sign up to use Inboundie, we may collect:

  • Business address and website URL
  • Billing and payment information (processed securely via third-party payment providers)
  • Any information you share during onboarding calls or support conversations

2.2 Information Collected Through Our Services

When we operate our AI growth system on behalf of our Clients, we may process personal information belonging to their End Users, including:

  • Names, phone numbers, and email addresses of leads and customers
  • Appointment and booking details
  • Communication history (SMS, email, WhatsApp messages)
  • Review and feedback data
  • Behavioural data such as message open rates and response times

2.3 Information Collected Automatically

When you visit our website, we may automatically collect:

All third-party providers are contractually required to handle your data securely and only for the purposes we specify.

4.2 Business Clients

If you are an End User whose information is processed through our Client’s system, that Client controls how your information is used and shared. We act as a data processor on their behalf.

4.3 Legal Requirements

We may disclose your information if required by law, court order, or regulatory authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Inboundie, our Clients, or the public.

4.4 Business Transfers

If Inboundie is acquired, merged with, or sold to another entity, your personal information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.


5. How Long We Keep Your Information

We retain personal information for as long as necessary to fulfil the purposes for which it was collected, including:

  • Client account data — for the duration of the service relationship plus 7 years for financial records, in line with Australian tax law
  • End User communications — retained for the period specified in our Client agreement, typically 12–24 months
  • Website visitor data — up to 26 months
  • Marketing enquiries — until you unsubscribe or request deletion

When information is no longer needed, we securely delete or de-identify it.


6. How We Protect Your Information

We take the security of your personal information seriously. Our safeguards include:

  • Encryption — All data is encrypted in transit (TLS 1.2+) and at rest (AES-256)
  • Access controls — Personal data is accessible only to authorised Inboundie team members who need it to perform their role
  • Secure infrastructure — We use reputable cloud providers with SOC 2 certified data centres
  • Regular audits — We conduct periodic reviews of our data handling practices
  • Staff training — All team members complete privacy and security training

7. Your Privacy Rights

Access your information You can request a copy of the personal information we hold about you. We will respond within 30 days.

Correct your information If your information is inaccurate, out of date, or incomplete, you can ask us to correct it.

Request deletion You can request that we delete your personal information, subject to any legal obligations we have to retain it.

Opt out of marketing You can unsubscribe from marketing communications at any time by clicking the unsubscribe link in any email or contacting us directly. Note that we may still send you service-related communications necessary to manage your account.

Make a complaint If you believe we have handled your personal information in breach of the Privacy Act, you can lodge a complaint with us directly. If you are not satisfied with our response, you may escalate your complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
